We collect information necessary to operate our volunteer programs and our grant programs, which are administered as separate and independent initiatives, to comply with applicable requirements and fulfill our nonprofit mission.

  • Mailing address
  • Profile photo (if user contributed)

Financial Information (Grant Applicants Only)

  • Adjusted Gross Income (AGI), as reported by the applicant from IRS Form 1040, collected solely for grant eligibility determination

Verification & Compliance Data

  • Date of Birth (required for venue age‑restriction compliance)
  • Identity and age verification results from third‑party screening providers
  • Background check authorization and consent records

Emergency Contact Information

  • Name and phone number of your designated emergency contact

Volunteer & Fundraising Records

  • Volunteer participation history
  • Shift assignments

Consent Records

  • Agreement to our Code of Conduct
  • Authorization for background checks and required verifications

Technical Data

  • IP addresses and basic access logs collected through our website for security, fraud prevention, and anti‑abuse purposes

2. How We Use Your Information

We use collected information only for legitimate operational and compliance purposes, including:

Screening & Verification

  • Verifying identity and age through iDenfy
  • Conducting background checks prior to manual volunteer approval

Volunteer Coordination & Administration

  • Assigning shifts
  • Tracking participation and fundraising history

Communications

  • Sending newsletters, event recruitment, and promotional communications through Constant Contact
  • Sending operational messages (shift notices, changes, reminders) via WordPress, Microsoft Office 365, and related systems

Safety & Emergency Response

  • Using emergency contact information only in urgent medical or safety situations occurring during a volunteer shift

Car Pool & Volunteer Directory

Achieving Dreams operates optional community features, including a Car Pool Bulletin Board and a Volunteer Directory, to help volunteers coordinate transportation and connect with one another.

By choosing to participate in these features, you acknowledge that:

  • Participation is voluntary and opt‑in only
  • If you opt in, other logged‑in volunteers may be able to view your name, profile photo (if provided), and phone number
  • Email addresses are never displayed to other users
  • Information shared through community bulletin boards or the Volunteer Directory is considered community‑accessible within the volunteer group
  • While access is limited to registered volunteers when possible, Achieving Dreams cannot guarantee the confidentiality of information voluntarily shared through community features
  • Users under the age of 18 are automatically excluded from the Volunteer Directory
  • You may opt out at any time through your profile settings

3. Third‑Party Data Processors

We do not sell or rent personal data. We share information only with trusted third‑party service providers necessary to operate our organization:

  • iDenfy – Identity and age verification
  • Microsoft Office 365 & SharePoint – Email, internal collaboration, and secure document storage (including legacy volunteer records)
  • Constant Contact – Email marketing, SMS updates, and event recruitment communications
  • Microsoft Azure – Secure hosting of our website, forms, and registration infrastructure

All vendors are selected for their data security, compliance controls, and reliability.


4. Essential Operational Communications

By registering as a volunteer, you provide explicit consent to receive Operational Communications, including:

  • Shift confirmations and changes
  • Satisfaction surveys
  • Safety updates
  • Performance or participation follow‑ups

These communications are required for participation and are separate from optional marketing or fundraising emails, which may be unsubscribed from at any time.


5. Data Retention & Legacy Records

Achieving Dreams retains volunteer and fundraising records for administrative, legal, compliance, and reconciliation purposes.

  • Legacy records are securely maintained within a Microsoft SharePoint environment
  • Requests to remove data from active systems or legacy archives must be reviewed and processed manually to ensure:
    • Legal compliance
    • Financial and fundraising reconciliation
    • Venue and audit obligations are met

We do not automatically delete records upon account inactivity.


6. Data Security

We take reasonable administrative, technical, and organizational measures to protect personal data, including:

  • Access controls and role‑based permissions
  • Secure cloud infrastructure
  • Encryption and logging provided by our vendors

No system can be guaranteed 100% secure, but we actively work to minimize risk and unauthorized access.


7. Children’s Privacy

Achieving Dreams does not knowingly collect personal information from individuals under the age required by our venue partners. Participation is restricted based on venue‑specific age requirements.


8. Changes to This Policy

We may update this Privacy Policy periodically. Updates will be posted on our website with a revised effective date.
